In this article, you will learn how to create and configure your access profiles.

The configuration of access profiles is what allows the administrator to grant or restrict user permissions within the system according to your company's needs.

To configure access profiles, you should select settings from the Movidesk side menu and under the people category, click on access profiles.

By default, three access profiles are already configured: administrators, agents, and customers. You can edit them according to your needs or create new profiles. When creating a new profile, you can choose whether it is for agents or customers.

Watch the video below to learn how to create and configure your access profiles:

Registering an access profile
  1. First, define the name and the type of user the profile applies to;
  2. Then, define whether it will be the primary profile for that type of user;
  3. And finally, define each of the permissions that this access profile will use.

The default access profile

The default access profile will be automatically suggested when creating a new user. Only one default profile is allowed for each type of user. If you have a default profile set and then attempt to set another profile as default, the profile that was marked as default will no longer hold that status.

User type

The first definition of an access profile is whether it applies to agents or customers. The parameters for agents and customers are different. Therefore, the list of available parameters will change depending on the selected user type.

The parameters

After defining the type of access profile, whether it applies to customers or agents, the screen section with the definition of access profile parameters will open.

These parameters will determine what the person can or cannot access within Movidesk.
For example: Imagine that you need to give a specific registration permission to an agent who has the Agents access profile. This access profile is used by several other agents. If you change the Agents access profile, the desired user will have the necessary permission, but all others using the same profile will also have it.

In this case, if the intention is for other users not to have permission, you may need to clone the Agents access profile and then modify the necessary parameter. After that, simply indicate in the agent's registration that they use the new profile and no longer the Agents profile.

Tip: Try to use clear names that identify each profile, for example: "Sales Manager", "Administrative Manager", "Support Agent" etc. This will make their use easier.

Who can manage access profiles?
All agents who have the parameter "Allow the registration of access profiles" checked in their access profile can edit the access profiles.
This parameter is in the Settings < People group.

Tip: If you need to create more types of access profiles for your customers who have different products, our suggestion is that you use the access policy of the People Registration. There, you can define the access profile for each person and restrict the service catalog to each of them.But be aware that all the parameterization is done here in the access profile.

See how practical it is! smile
